Custom Software for Camps

Camp weeks are loud, timed, and full of moving parts. Tell us how sessions, groups, and check-in really work. We’ll build an app around that — not a binder, a spreadsheet, and a megaphone.

The problem

The day-to-day stuff outruns the registration spreadsheet.

Many camps nail enrollment, then run the week on paper rosters and radio calls. That’s stressful when groups reshuffle, a camper needs a note at pickup, or morning check-in backs up at the gate.

  • Session rosters don’t match how groups are actually built on site
  • Morning check-in and afternoon pickup are slow or inconsistent
  • Counselors don’t have the right camper notes in the moment
  • Daily schedule changes don’t reach every group leader
  • Parents ask about groups or pickup and staff scramble for answers

What we could build

What we could build for your camp

Tools for sessions, groups, check-in, and the daily board — so directors and counselors share the same live info. You describe how a Monday morning feels. We build from that.

Sessions & enrollment views

Which campers are in which week or session, with capacity you can see before the scramble.

Groups & counselor assignments

Build cabins, teams, or activity groups and keep the roster current when kids move.

Check-in & checkout

Morning arrival and afternoon pickup with authorized adults and quick exception notes.

Camper notes for staff

Allergies, pickup quirks, and “needs quiet time after lunch” visible to the people who need them.

Daily board

Today’s schedule, rotations, and last-minute changes in one place for group leaders.

These are examples of workflows we can combine or customize — not a promise that every camp or program build includes all of them.

Day camps, overnight programs, and sports weeks aren’t identical

A week-long day camp and a multi-week overnight program need different groups and check-in flows. We build around your session structure and how parents interact at the gate. Your camp shouldn’t have to fit a youth-program template that wasn’t written for your week.

Example: Monday morning of a new session

  1. 1

    Session roster is ready

Campers for the week are listed. Groups and counselor assignments are already set.

  2. 2

    Check-in at the gate

Staff mark arrivals. Special notes surface before the camper heads to their group.

  3. 3

Groups run from the daily board

Counselors see rotations and any schedule change without a separate announcement chase.

  4. 4

    Pickup closes the day

Checkout confirms the right adult. Exceptions are logged for the director if needed.

Common questions

We already have registration software. Do we still need this?
Often yes. Registration gets kids enrolled. The week itself — groups, check-in, counselor notes, daily changes — is a different problem. That’s usually where we help.
Can counselors use it on phones?
That’s a common need. We design for how staff actually work on site — not only for someone at a desktop in the office.
Do we need a long tech document?
No. Walk us through a Monday morning and a pickup rush. What’s stressful? What do counselors wish they could see? That’s enough to start.
What does pricing look like?
Custom camp apps can start around $1,000 depending on scope. We’ll talk through what you need before we build.
